What Information We Collect
We collect personal information when you:
- Submit a contact or quote request form on our website
- Contact us by telephone, email, or WhatsApp
- Chat with Amy, our website chat assistant
- Make a payment to us through our website
The information we collect may include: your name, email address, telephone number, postal address or postcode, details of your project, and any payment information needed to process a transaction. We do not see or store your full card details — these are handled directly and securely by our payment provider, Stripe.
How We Use Your Information
We use the information you provide to:
- Respond to your enquiries
- Prepare and send quotes for carpentry work
- Arrange site visits and carry out the work you have requested
- Process payments for work carried out
- Keep accounting and tax records as required by law
We rely on different legal grounds depending on why we're using your information: performing a contract with you (quoting for and carrying out work), our legitimate business interests (responding to enquiries, keeping our website secure), our legal obligations (keeping financial records), and your consent (for example, analytics cookies or any future marketing communications — see below).
We do not sell your personal information to third parties.
Marketing Communications
We do not currently send marketing emails or newsletters. If this changes in future, we will only ever contact you for marketing purposes with your consent, and every marketing message will include a simple way to opt out at any time.
Photos of Your Project
We always ask for your explicit permission before using photos of your home or finished project in our website gallery, case studies, or other marketing materials. If you've previously agreed to this, you can withdraw your permission and ask us to remove the photos at any time by contacting us.
Who We Share Your Information With
We use a small number of trusted service providers to run our website and business. We only share the information each of them needs to do their job:
- Netlify — hosts our website and receives quote/contact form submissions on our behalf.
- Stripe — processes online payments securely. Stripe is PCI-DSS compliant; we never see or store your full card details.
- Anthropic — powers Amy, our website chat assistant. If you chat with Amy, your messages are sent to Anthropic's API to generate a reply. We don't keep a transcript of these conversations ourselves.
- Google — provides Google Analytics, which only runs if you accept analytics cookies (see Cookies below).
- WhatsApp (Meta) — if you choose to message us on WhatsApp instead of using our website, that conversation is covered by WhatsApp's own privacy policy, as it's a separate app you choose to use, not something built into our website.
International Transfers
Some of the providers we use above (including Stripe, Anthropic, Netlify, and Google) are based outside the UK, including in the United States. Where this happens, we only work with providers who maintain appropriate safeguards for international transfers, such as Standard Contractual Clauses, the UK International Data Transfer Addendum, or participation in the UK Extension to the EU-US Data Privacy Framework.
How Long We Keep It
We retain personal information for as long as is necessary to fulfil the purpose for which it was collected. For enquiries that do not progress to a project, we typically retain your information for up to 6 months. Where we carry out work or take payment, we keep the related records for 6 years, as required by UK tax and accounting law.
Your Rights Under UK GDPR
Under UK data protection law, you have the right to:
- Request access to the personal data we hold about you
- Ask us to correct inaccurate or incomplete data
- Ask us to delete your data (subject to any legal obligations we have to retain it)
- Object to or restrict how we process your data
- Withdraw your consent at any time, where we rely on consent to process it
- Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk
To exercise any of these rights, contact us at: info@berkshirebespokecarpentry.co.uk
